6 Red Flags to Avoid with Class Management Software

Marketing Director at SportsEngine

October 25, 2023 | 5 minutes, 42 seconds read

We get it—change is hard, and nobody wants to learn a new process from scratch when things are going “just fine.” But you deserve to be more than “just fine”—you deserve to be “better than ever.” Which is why it might be time to take another look at your current business software.

When to know it’s time to switch to a new class management solution:

1. You’re spending too much time on administrative duties

Between charges, payments, and credits, handling all your finance tasks can take time and cause lots of stress. Not to mention balancing your calendar, communication, and social media to boot. But when you have the right class management solution, you can stay on top of all your business’ finance and communication needs with ease, in one place—without having to spend all your free time in front of a computer.

When you’re juggling your billing, communications, website, and mobile app on a few different programs, it’s time to consider switching to an all-in-one solution that will shave dollars AND hours off your bottom line.

2. Simple tasks confuse your customers

A good class management software isn’t just designed to help make running your business smoother, but also to make it easier on your customers. It’s supposed to save you time, and save you the trouble of responding to customers who fill your support queue with simple questions like how to sign up for classes or when their payments are due.

If your current provider doesn’t offer a parent portal and mobile app that can address any quick questions, it’s definitely time to reconsider.

3. It’s impossible to communicate with your customers

Effective communication with your customers is essential. It allows you to establish trust and maintain an ongoing relationship with them. Having a relationship built on trust means a customer is more likely to come back, remain satisfied, and recommend others to use your business—ultimately leading to more revenue. Between your website, emails, social media, and even Google—there are several different ways to connect with your customers. But it helps when you can manage all those different places in one central hub.

Website

Your website is the front door to your business—so you need show-stopping curb appeal. Find a solution that includes both slick branding and the functionality to easily direct visitors where to sign up, share important dates and events, and even update them with a newsletter or blog.

Email & Social Media

You need a platform with an email center that serves as the central hub for your email messaging system, separates your customers into specific groups, and includes the ability to manage email opt-outs. And let’s not ignore the fact that people are using social media a lot more these days—sometimes in place of email. With so many different platforms—Facebook, Instagram, Twitter, the list goes on—you need a solution that manages all your social media platforms in one place.

Google

Remember: online reviews can directly increase your revenue stream. The more reviews you have, the higher you appear in Google searches. The better you’re ranked on Google, the less you need to spend on ads, and the quicker your customers can find your programs. Being able to connect your Google My Business account directly into your software is essential in successfully gaining new, positive reviews for your business.

4. The support team is "meh"

Having a support staff that goes above and beyond to give you the utmost care and attention is priceless. After all, this business is not just your day job—you live for encouraging teamwork, skills, and cameraderie with your youth athletes every day. It’s essential that your provider works with you like a partner—making sure you’re heard and acting as an extension of your staff. If you’re not getting that type of support from your provider, it’s time to leave immediately.

5. You’re paying for monthly fees and add-on charges

So maybe you have a solution that can do everything you want—but they’re charging you a monthly fee, plus even more for additional tools. Yeah, they have a mobile app—but you have to pay extra for it. Or maybe instead of getting perks to help grow your business, you’re getting charged more money when you accept more students—which can be even more costly if your inactive or graduated students count in that tally! If you’re not comfortable with your pricing and feel that you’re not getting everything you need for one simple price, then it’s time to look for an new software solution.

Learn how SportsEngine Motion gives you complete control to run your studio

6. You don’t remember the last time your software had a new update

Every day, you work to make your business the best it can be while helping your students improve and introducing them to the world of sport. You need a class management solution that shows the same passion and commitment that you do. When was the last time your software updated their features?

If your provider isn’t listening to your feedback to ensure you’re able to get your job done as seamlessly as possible—and giving you the tools you need to accomplish your goals—it’s time to find a new provider that cares about you, not just their bottom line.

It’s time to switch!

If even one of these red flags resonate with you , it’s time to start exploring new options that meet all your needs. Luckily, SportsEngine Motion can help solve all these problems and more with its all-in-one class management software. The best part? Switching couldn’t be easier—SportsEngine Motion has the best, most friendly support staff that will make the move quick and painless. So, what are you waiting for? Take your business from “just fine” to “better than ever” with the smartest move you’ll ever make.

SportsEngine Motion Has Helped Boost this Power Tumbling Club

Marketing Manager at SportsEngine

October 20, 2023 | 5 minutes, 23 seconds read

Snake River Star Jumpers, located in Ontario, Oregon, takes a unique approach to training their students. While their programs are recreational, they teach their students the art of power tumbling and floor-based gymnastics as if they were on a competitive team. Owner and head coach, Nick “Cannonball” Carter has this mindset due to a long journey within athletics that led him to start the business in October 2020.

Learn more about Snake River Star Jumpers here >

The journey to owning a power tumbling club

Nick Carter didn’t always have a dream of owning and operating a youth sports business. While he spent most of his youth participating in gymnastics, cheerleading, and wrestling, he didn’t plan on that being a part of his career someday. Nick has always had an entrepreneurial spirit, so he was willing to work on just about anything that could make him money. However, a trio of jobs he took as a young adult opened up a passion for coaching and inspired him to spread the knowledge of power tumbling he gained throughout his childhood.

Nick worked as a daycare provider at a gymnastics facility in high school. While there, a spot opened as a boys’ gymnastics coach, and he willingly stepped in. In college, he moved to a local gym and coached under a former Olympian from Jamaica. While working at this gym, he learned how to coach competitive athletes. Eventually, he moved to Utah and worked at a high-level power tumbling gym. It was a specialized competitive facility where everything was fast paced. The gym owner gave him the freedom to be himself and coach these athletes competitively, and while there, it occurred to him that he wanted to open his own facility.

Fast-forward to October of 2020. Nick had a “9-5” day job, but because of the COVID-19 pandemic he had more free time outside of work. He started his first official classes with three students teaching 1 class per week. He was doing something right, because only eight months later, by the Summer of 2021, Nick had 25 students per week. He took the Summer off from coaching to work fighting wildfires, but he spent his off-time planning for the fall.

Once the Summer of 2021 was over, he coached for another nine months and continued to grow his membership base. When Summer of 2022 came around, he went to fight wildfires again. That’s when a unique opportunity presented itself. Towards the end of that Summer, he was asked to be on a reality TV show, The Blox, featuring entrepreneurs and small business owners who showcase their ideas and plans to the experts.

For someone without a traditional business background, participating in this show (and placing 14th out of 60 participants) was invaluable for Nick. He spent his days learning from his peers and small business experts to help him continue building Snake River Star Jumpers.

Snake River Star Jumpers today

Now, three years after starting with three students and 1 class per week, Nick is up to over 100 active students teaching 15 classes per week. Snake River Star Jumpers gets kids from around the area who are interested in being coached in the arts of power tumbling, but he also teaches them how to become confident and capable young adults through the transformative power of gymnastics.

Nick hopes to keep building the business to reach more students, and his next goal is to secure a facility. And he’s well on his way. The way Snake River Star Jumpers has continued to grow its programs and reputation for coaching students competitively, he should hit that goal within the next two years.

How SportsEngine Motion is helping Snake River Star Jumpers

Believe it or not, Nick Carter can thank the reality TV show, The Blox  for finding SportsEngine Motion in September 2022. One of Nick’s major lessons during his time on The Blox was that he couldn’t expect to run a business using a pen, paper, and his phone. He needed technology to help boost the growth of his business.

Nick saw an ad for SportsEngine Motion on his Facebook feed and decided to check it out. He spoke to a sales representative who showed him the simple class setup and communication tools and decided to give it a try.

“SportsEngine Motion is the best thing I could have ever found for my power tumbling club. I 100% recommend this service to any owner/operator of a dance studio or gymnastics club.”

Nick has been one of SportsEngine Motion’s biggest fans ever since joining. He was initially a bit nervous about moving his business online, but he was assigned a dedicated onboarding representative who walked him through the entire setup process to get him up and running.

“I would’ve hated making the move, but since I had such great support from SportsEngine it was really easy. I have multiple customers that say they’re so happy we’re online now.”

See how SportsEngine Motion can boost your business >

As his business has grown, Nick has found himself saving more and more time because of SportsEngine Motion.

“The registration system and keeping everyone’s information in one place and organized has saved me so much time. I can easily find everyone’s contact information.”

Nick “Cannonball” Carter has spent his life pushing himself to accomplish his goals, so of course he has big dreams for Snake River Star Jumpers. He’ll continue using SportsEngine Motion to help run his business and spread his passion for power tumbling.

How to Keep Your Classes Organized

Account Manager at SportsEngine

October 18, 2023 | 2 minutes, 31 seconds read

When was the last time you looked at your organization’s class structure? Whether you are looking to revamp your curriculum or launch a new program, having a well-designed class structure will guide parents to the correct classes and reduce the questions your administrative staff is fielding. Check out SportsEngine Motion’s expert tips on keeping your classes organized.

Programs

Remember registering for classes in school? You found geometry and calculus listed under the mathematics program. Whether it is Beginner Swimming or Classes/Clinics, structuring your classes with other similar options will allow parents to find the correct one quickly.

How to create additional Programs in SportsEngine Motion

Ages

A parent or guardian will likely sign up their child for a class with kids close to the same age if they're new to a program. Adding age restrictions to a class is a great starting point for parents to know what class to register for their child.

Charge Categories

On the administrative side, visibility into how much revenue each class and program generates will set you up for financial success in years to come. The easiest way to do this is using SportsEngine Motion’s Charge Categories. Taking the time to set up and assign the correct categories to the suitable classes means you can quickly view how much revenue your business generates by class, program, age group, competitive vs. recreational, etc. You can easily find all this information in a SportsEngine Motion Charge Category Report.

Share

Once you create your classes, the next most important part is sharing them for all to see. By grabbing the direct Program URL, you can promote each aspect of your business via newsletters, SportsEngine Motion’s Social Feed, or even QR codes posted in your lobby.

An organized system for your classes and an online registration platform allow for easy setup, organization, and sharing options. With recent updates to financial reporting tools and communication capabilities, choosing the right software allows your business to flourish and provides more opportunities for athletes in your community.

Running a business means there are a million moving pieces, especially around the holidays. Staying on top of it can be overwhelming, but here at SportsEngine Motion, we aim to reduce the stress and sprinkle the joy back into your Holiday season.

Check out a few tips we recommend for staying in front of it, so you can get time back to spend with your loved ones.

Holiday promotions

Setting up a holiday promotion is a perfect way to capitalize on additional revenue while people are ready to spend. From Black Friday pro-shop sales to private lesson deals or a priority registration promotion for future sessions — the holiday season is the time to offer something extra to your loyal membership.

Communicate

Communication is essential during the holiday season. You will likely offer day camps, communicate program offerings, or notify your membership (and staff) about facility closures.

Luckily, there is no wrong answer regarding communication, and SportsEngine Motion has your back. Using SportsEngine Motion’s newsletter capabilities is an effective solution to communicate everything needed, from your holiday camp registrations to make-up day opportunities. Plus, unlimited SMS messages and social feed posts available at your fingertips will provide you with the additional tools you need to stay in touch with your entire membership.

Clean up your finances

SportsEngine Motion’s financial reporting tools and capabilities will assist you every step. Using the Overdue Charge Summary report will help you reduce your overdue balances. SE Payments Payouts is the perfect way to reconcile your bank deposits, and switching to requiring auto payments will make the collection of tuition even easier in the future.

This is great, but I need help executing

You’re in luck! SportsEngine Motion’s support team is available six days a week to assist you with anything – from your reporting needs to communication setup. Connect with our team directly using the Need Help button on your website.

Create New Year’s Goals, Not Resolutions

Account Manager at SportsEngine

October 18, 2023 | 3 minutes, 18 seconds read

For many, the new year can mean a fresh start on breaking our old habits. Even with the best resolutions, our busy lives and inherent patterns eventually re-emerge, and we’re back to square one.

This year, we suggest something new: nix the resolutions, and let’s set some goals! Shifting your focus to something you can put into action right now means your goals are closer than you think. Studies show people are more likely to accomplish specific and written goals, so we jotted down a few for you and your organization to get you started.

Growth goals

Growth goals can mean many things. For example, are you looking to increase your enrollment, launch a new program, or raise your brand recognition?

To develop growth goals, you need a clear vision statement that you can segment into achievable steps. Growing your enrollment may involve promotions or discounts that don’t necessarily increase your revenue immediately. So, you’ll need to make assessments along the way to gauge what promotions are driving new long-lasting customers.

No matter what it is, it’s important to establish a realistic goal, actionable tasks, and a team to help you complete those growth goals.

Financial goals

Setting a financial goal will help you focus on ways to drive additional revenue. Instead of thinking about where you want to be at the end of the year, set a goal for the month, quarter, or even a registration session.

Achieving the small goals first will create a series of benchmarks that will set you up for a year of success. Be specific in your financial plan. Some examples could be: Reviewing monthly tuition rates to increase your bottom line, opening a pro shop, or utilizing your website for sponsorship opportunities.

Customer experience goals

Enhancing your current customer experience will help your organization promote additional business growth and make your existing customers happier and more likely to stay.

When setting customer goals, identify any roadblocks that inhibit an exceptional experience. Roadblocks might include a complicated registration process or difficulty finding the correct information for an athlete.

With these roadblocks in mind, develop customer goals to solve them, such as

  • Streamline the online checkout process with the right technology

  • Adding an FAQ on your website for easy-to-find information

  • Creating a communication strategy for consistent touchpoints

Employee development goals

Motivated, engaged employees offer many benefits in youth sports, such as increased enrollment and deeper loyalty with current athletes. The right coaches and staff are essential ingredients in a program’s success.

To set employee development goals, collect regular feedback from your staff about the types of incentives that motivate them. Include these goals in performance reviews while offering training and learning opportunities like sales tactics or the latest coaching techniques.

In the end, when creating your new year business goals, focus on the specifics while adding deadlines and benchmarking your progress. Seeing what you have already achieved can be a prime motivator to continue working towards your final goals.

Marketing Manager at SportsEngine

October 18, 2023 | 2 minutes, 51 seconds read

In August, USA Gymnastics hosted its annual National Congress & Trade Show in Tampa, FL and we got to experience all of the fun first-hand.

The USAG National Congress & Trade Show aims to offer owners, coaches, and athletes from gyms around the country the ability to attend scheduled educational classes and have the flexibility to guide their learning at the conference. There is also a trade show that takes place where over 65 vendors for gymnastics organizations presented their products.

The SportsEngine Motion booth was the place to be. Our enthusiastic team spent time meeting with customers, providing in-depth demos of our software, and teaching new customers how they can grow their gym with SportsEngine Motion. We also had plenty of free swag and a drawing to win an Apple iPad!

Manage your classes, signups, finances, members, and website—all in one place. Here's how >

One of the best parts about going to these events is the quality time we are able to spend chatting with our current customers to hear about what SportsEngine Motion has done for their gym. One of them was even interested in starring in a short video for us to post on Instagram, so we highlighted them below!

Meet Melissa Belnap from Rebel Athletics of Minot

Rebel Athletics is a gymnastics gym based in Minot, ND. They offer classes for boys and girls in tumbling, gymnastics, cheerleading, and more! Learn more

Meet our big drawing winner, Julie Vandiver, from Central Kentucky Athletics

A lot of the excitement around our SportsEngine Motion booth at the trade show centered around our big giveaway item. We had an Apple iPad that attendees could enter for a chance to win!

The big winner was Julie Vandiver from Central Kentucky Athletics, a gymnastics gym offering tumbling and gymnastics classes based in Elizabethtown, KY. While they are not currently using SportsEngine Motion, we had a wonderful chat with Julie and hope to be able to serve them in the future. Congratulations, Julie!

Whether we are catching up with our valued customers or showing newcomers what SportsEngine Motion can do for their gym, we loved the opportunity to take part in another successful event. We can't wait to see everybody again at the event next year.
